Workday integration settings
Read as MarkdownThe “Integration Settings” section of your Workday integration in Cronofy has its own “Save” button, so you can change these settings at any time without entering the Integration System User password again.
To find it, select your Organizational Unit in the Cronofy dashboard, then the “Admin” tab, “Integrations”, and your Workday integration.
Fallback interview step #
Optionally, provide a fallback interview step id. This will be the id of the interview step that we will use as a fallback to move candidates to when rescheduling interviews.
Moving candidates to an interview automatically #
Workday can only record an interview for a candidate who is at an interview step. With “Auto advance to interview”, Cronofy moves the candidate to an interview step when you start scheduling, so you don’t need to do it in Workday yourself.
| Option | What Cronofy does |
|---|---|
| Off | Never moves candidates. This is the default. |
| Only candidates already at the Interview stage | Moves a candidate who is at the Interview stage, but whose interview has already been scheduled, to a new interview, the same as choosing “Additional Interview” in Workday. |
| Candidates at any stage | Also moves candidates at earlier stages, such as Review or Assessment, to an interview step. |
Moving a candidate uses the “Move Candidate” permission you granted to the Security Group earlier. Cronofy can only record the interview if the “Schedule Interview” step is assigned to your Integration System User, as described in Configure the Business Process.
Candidates at any stage #
Workday only lets a candidate move to an interview step that is valid from the stage they are at, and each Workday tenant names its steps differently. When you choose “Candidates at any stage”, Cronofy learns the interview steps your tenant uses from the candidates who are already at the Interview stage. It checks again every night.
If Cronofy hasn’t yet seen any candidate move from a particular stage to an interview, it can’t move a candidate from that stage. When that happens, Cronofy tells you which stage it was, through the scheduling agent if you are using one, or otherwise by email to the coordinator of the scheduling request. To fix it:
- In Workday, move that candidate to an interview step yourself, for example with “Move Candidate”.
- If you are using the scheduling agent, ask it to schedule the interview again.
Cronofy then learns the step, and moves later candidates from that stage automatically.
