Create a scheduling request

A scheduling request is a link you send to an invitee so they can book a time with you, chosen from your real availability. You decide what the event is, who’s involved, and which times to offer. You can schedule your own meetings as the host, or coordinate them for other people.

Create a request #

Start a new request from the Scheduler, the browser extension, or one of our integrations.

Choose whether the link is for a single event, or for several events booked together. For your first requests, guided mode walks you through each part of the form, and you can turn it off at any time.

Choose who’s involved #

Every request needs:

You can also add other attendees, and use a selection rule as the host or attendees to schedule from a pool of people.

If you belong to more than one Organizational Unit, choose which one to schedule from. It decides the branding your invitee sees.

Set the event details #

The event’s title is visible to your invitee. Its duration, location and conferencing start from your preferences, and you can change them for this request without changing your preferences.

Offer times #

Choose whether to offer your working hours or interview times, or pick times for this request only. See choose which times to offer.

Tag the request #

Tags categorize requests, so you can filter and report on them, and apply booking limits.

Attach files #

If your invitee needs to see something before the event, such as an agenda, briefing or CV, attach it to the request. You can attach up to five files.

Reuse a recent request #

Copy one of your recent requests to start a new one with the same details already filled in:

  • the host
  • the event details: title, location, duration and invitation text
  • tags, for example to trigger the Lever feedback form for the same role
  • the custom hours or specific slots you offered
  • whether rescheduling is allowed

For requests you send often, a template saves setting them up each time.

Book a time for your invitee #

Book now skips the invitee choosing a time. You set up the request as usual, pick the time yourself, and the meeting is booked straight away.

Book now has to be turned on for your Organizational Unit in its scheduling settings.
